This Policy is made pursuant to New General Data Protection Regulations (GDPR) which come in to force on the 25th May 2018. The updated regulations increase the privacy rights for individuals by putting further controls on the collection, use, sharing, storage, security and disposal of data. This policy sets out the steps that The Havering Fencing Company Ltd has taken and is continuing to take to ensure that Data Protection Laws are not breached with our business.

In order for us to comply with these new EU regulations, we require your permission to collect, store and process this data from the 25th May 2018 onwards.

The Havering Fencing Company Ltd is committed to protecting your privacy.

This Personal data is used by The Havering Fencing Company employees for business purposes only. Selected portions of accounts may be shared by our auditing accountants, HMRC and legal authorities when we are legally bound to do so. We may also share your corporate information with credit reference agencies and other companies for use in credit decisions, for fraud prevention and to pursue debtors.

We hold and store information about Suppliers / Clients and Sub- Contractors including personal data on people working within your company, such as names, email addresses, phone numbers as well as Company Tax and banking information where applicable. This information is held electronically and in paper form in a secure environment, with no data being stored outside of the United Kingdom.

Information held is securely filed in locked cabinets and strict I.T. procedures are followed to prevent unauthorised access with passwords protection. We will not sell, trade or rent your personal information to others. We utilize the services of a professional IT company to maintain all our systems.

We will never collect information about you unless it is agreed that it is required for our business transaction and accounting purposes. You can see a copy of the data that we hold about you by emailing us and requesting to see your data.

In Relation to You – What we Collect and Why:

Suppliers and Subcontractors

Your names, addresses, contact telephone numbers and email addresses, banking details for credit checking and fraud prevention purposes. This information will be held on file for company use and for as long as HMRC require us to hold this documentation where applicable.

Clients and Customers

All as above and also credit or debit card details. We hold a valid certificate of validation compliance PCI DSS version 3.2 from our authorized card payment company. This compliance is an annual assessment.

The Havering Fencing Company Ltd Employees

The Havering Fencing Company Ltd will collect and use personal date to ensure health, safety and welfare of all its staff and others.

All Havering Fencing employees with access to personal date have to agree and sign an ‘Employee Confidentiality Agreement Letter’ on their induction with the company.

At present we do not record or store telephone calls. Our answerphone machine messages are erased daily. Information we take during the calls where relevant will be stored on our database.

We will only keep your data for as long as it is necessary to fulfil the purposes we collected it for. These purposes include satisfying any enquiries, accounting, legal or reporting requirements.
